Onboarding Checklist for New Client Accounts

This checklist outlines everything needed to get your team set up on CrintellTech. Completing all items before go-live ensures a smooth experience for your recruiters from day one.


✅ Before Onboarding Begins

Please have the following information ready before your onboarding session:

—> 1. User List

Provide a complete list of all recruiters and team members who will use CrintellTech. For each user, include:

  • Full name

  • Email address (must be the official company email)

  • Role (recruiter, team lead, admin, etc.)

Tip: Send this as a spreadsheet for bulk setups (10+ users).

—> 2. Job Board Access

List every job board your team actively sources from. For each job board, we will need to configure Recruitment Assist. Common job boards we support:

  • Indeed

  • LinkedIn / LinkedIn Recruiter

  • Dice

  • Monster

  • CareerBuilder

  • Resume Library

  • ZipRecruiter

  • Vivian (healthcare staffing)

—> 3. ATS Information

Provide the following details about your Applicant Tracking System:

  • ATS name (e.g., JobDiva, Ceipal, LaborEdge, Zoho Recruit, Bullhorn)

  • ATS source email addresses for each job board (see Configuring Source Mapping for details)

  • API credentials (if applicable — your ATS administrator can provide these)

—> 4. Report Recipients

Let us know who should receive the automated activity reports:

  • Daily Report — List of email addresses

  • Weekly Report — List of email addresses

  • Monthly Report — List of email addresses

You can include managers, team leads, or any stakeholder who needs visibility into recruiter activity.


🔧 During Onboarding

The CrintellTech support team will handle the following during your onboarding:

—> Account Setup

  • Create user accounts for all recruiters.

  • Configure ATS integration and source mapping.

  • Set up automated reports with the specified recipients.

—> Extension Installation

Each recruiter will need to install the Recruitment Assist Chrome extension. Detailed instructions are available here: How to Install Recruitment Assist

Important for IT teams: If your organization uses Chrome policies or group policies that restrict extension installation, please whitelist the CrintellTech Recruitment Assist extension before the onboarding session.

—> Training Session

We recommend a live training session (30–45 minutes) for your team covering:

  • How to log in to Recruitment Assist

  • How profile push works on each job board

  • Understanding duplicate notifications

  • How to add notes to candidate profiles

  • How to read the Daily Activity Report

  • What to do if something is not working (basic troubleshooting)


✅ After Onboarding: Go-Live Verification

Before considering onboarding complete, verify the following:

—> For each recruiter:

  • [ ] Recruitment Assist is installed on Google Chrome

  • [ ] The recruiter can log in and their name appears in the extension popup

  • [ ] The recruiter is using Chrome (not Edge, Firefox, or Safari) for job board activity

  • [ ] A test profile push has been completed successfully from at least one job board to the ATS

—> For the account:

  • [ ] Source mapping is configured for all active job boards

  • [ ] ATS integration is verified (profiles are appearing correctly in the ATS)

  • [ ] Report recipients are confirmed and the first test report has been delivered

  • [ ] All users have been added to the appropriate reports (Daily, Weekly, Monthly)


📋 Eva Setup (If Applicable)

If your team will be using Eva (AI-powered candidate matching and outreach), the following additional steps are needed:

  • Outgoing mail configuration — See How to Configure Outgoing Mail in Eva

  • Agent Search setup in your ATS — Before assigning a job to Eva, ensure the Agent Search criteria are filled out and saved in your ATS (e.g., JobDiva). This allows Eva to auto-populate screening criteria for better candidate matching.

Common pitfall: If a job is assigned to Eva without completing the Agent Search in the ATS, the screening criteria will be blank and no matching candidates will be found. Make sure your team is trained on this step.


❓ Frequently Asked Questions

—> How long does onboarding take?

Typical onboarding takes 1–3 business days from the time all required information is provided. The actual training session is 30–45 minutes.

—> Can we add more users after onboarding?

Yes. You can request new user accounts at any time by emailing support@crintelltech.com. See How to Request User Changes.

—> What if our IT team needs to approve the extension?

We can provide your IT team with the extension details (Chrome Web Store listing, extension ID, permissions used) so they can review and approve it. Contact support for this information.

—> Do all recruiters need to attend the training session?

We strongly recommend that all recruiters attend the initial training. Recruiters who skip training tend to generate more support tickets due to avoidable issues like using the wrong browser or not logging in properly.
